Version 1.3 · Effective 28 September 2026
This policy explains what personal information EazyConstruct collects, why, who we share it with, how long we keep it, and your rights under the Protection of Personal Information Act, 2013 ("POPIA"). Capitalised words have the meanings in the EazyConstruct Platform Terms of Use.
1. Who we are
1.1 [not set] (Pty) Ltd, registration number [not set], of [not set] ("EazyConstruct", "we", "us") is the responsible party for the personal information described in this policy.
1.2 Our Information Officer is [not set]. You can contact them about anything in this policy at support@eazyconstruct.com.
2. Whose information this policy covers
2.1 This policy covers:
- Clients and Contractors who use the EazyConstruct app or website (the "App");
- people who email our support address without an account;
- contractors a Client invites to the App by email, before they sign up;
- people who start signing up but do not finish.
2.2 The App is only for people aged 18 or older. We do not knowingly collect information about children.
3. What we collect
3.1 Information you give us when you sign up and use your account: your name, email address, phone number, password (stored only in a form that cannot be reversed), profile photo, city or service area, province and country, your role as a Client or Contractor, and confirmation that you are 18 or older.
3.2 Information about your Projects: Job titles and descriptions, the suburb and full street address of the site, budget, dates, access notes and scope; Quotes, Signed Quotes and the name you type to sign; Change Orders; the Work Plan; photos of the site and the work; the Site Handover Report; snag lists and defect reports; formal notices; cancellation reasons; dispute submissions and evidence; and proof that mediation or legal proceedings have started.
3.3 Contractor information: business name, company registration number, trade, experience, bio, specialisations, rates and availability; licences and registrations with their proof documents; insurance proof and expiry date; bank confirmation letters; portfolio photos; purchase receipts; supplier quotes; and Certificates of Compliance.
3.4 Payment information: payment references, amounts, payment and refund records, and payouts. For Contractors, we also store the bank account holder's name, bank, account number and branch code, so that we can pay them. We do not store Clients' bank card details. When a refund is due, we ask the Client for the bank account to refund and proof that it is in their name, and we delete those details once the refund is paid.
3.5 Messages and reviews: messages and attachments you send in the App, read receipts, blocks and reports, and ratings and reviews you give or receive.
3.6 Legal records: which version of each EazyConstruct document you accepted, and when, together with your IP address, device and app version at the time.
3.7 Security and technical information: your IP address, device and browser details, login history, active sessions, two-factor authentication settings, and push notification tokens.
3.8 Location: if you allow it, your phone's location. We use it to show nearby Jobs or Contractors and to fill in your province. You can switch location off in your phone's settings at any time.
3.9 Settings: your notification and privacy preferences.
3.10 From people without an account: the email address and message of anyone who emails our support address, the email address of a contractor a Client invites, and the email address of anyone who starts but does not finish signing up.
3.11 Some documents you upload, such as licence or insurance proof, may show more information than we need, for example an ID number. We do not use that information for anything except checking the document.
4. Why we use it
4.1 We use personal information to:
- create and run your account, and keep it secure;
- match Clients with Contractors and show profiles, Jobs and reviews;
- keep the Project record: Quotes, signatures, Change Orders, photos, payments and documents;
- receive payments, hold and pay out funds, make refunds and collect amounts owed, as the Platform Terms set out;
- check Contractors' licences, registrations, insurance and bank details;
- sell and deliver materials, and inspect completed work, on Company-managed Projects;
- send the notifications you choose, and the service messages we must send, such as changes to our terms;
- handle support requests, complaints, cancellations and disputes;
- prevent fraud and misuse, and enforce our terms;
- meet our legal obligations, including tax and consumer protection law, and respond to lawful requests from authorities.
4.2 We process your information because it is needed to perform our agreement with you, because the law requires it, because it protects a legitimate interest of ours or of another user (such as preventing fraud or resolving a dispute), or because you have agreed to it. Where we rely on your agreement, you may withdraw it at any time. This does not affect anything we did before you withdrew it.
4.3 Most of the information in clause 3 is needed for the App to work. If you do not provide it, we may not be able to open your account, let you quote or sign, or pay you out.
4.4 We do not sell personal information. We do not send you marketing messages unless you have agreed to receive them, and you can opt out at any time.
4.5 We do not make decisions about you based only on automated processing. Where the App flags something, such as repeated cancellations, a person at EazyConstruct reviews it before any action is taken.
5. Who can see your information in the App
5.1 Contractors see a Client's name, the Job details and the suburb. Only the Contractor the Client hires sees the full street address.
5.2 Clients see a Contractor's business name, trade, profile, reviews and suburb or town. Clients never see a Contractor's exact location or bank details.
5.3 Both parties to a Project see the Project record: the Signed Quote, Change Orders, photos, notices, payments, documents and any dispute submissions. Once a Quote is signed, they can also see each other's phone number.
5.4 EazyConstruct staff can see information when they need it to run the App, check Contractors, handle payments, inspect work, or deal with support, cancellations and disputes. Staff can only reach what their role needs, and staff actions are logged, including every time a member of staff reveals bank details or exports a user's data.
5.5 Past Clients. Where the App shows a Contractor's past Clients, for example in reviews or completed jobs, it shows only the Client's first name and the first letter of their surname.
6. Who we share it with
6.1 We use the following service providers to run the App. They may only use your information to provide their service to us:
| Provider | What they do | Information they receive | Where it is processed |
|---|---|---|---|
| Our hosting and database provider | Runs our servers and stores our database | All information in clause 3, and server logs | European Union (Germany) |
| Cloudflare (R2) | Stores uploaded files and photos | Files you upload | Cloudflare's network, which operates worldwide |
| Resend | Sends and receives our email | Email addresses and the content of emails | Ireland (European Union); Resend is a US company |
| Expo | Sends push notifications | Push tokens and notification text | United States |
| Google (Firebase) and Apple | Deliver push notifications to your phone, and provide location services on it | Push tokens, notification text, and your phone's location if you allow it | Worldwide |
| Our bank | Receives payments and makes payouts and refunds | Payment references and amounts, Contractors' bank details, suppliers' details for materials paid from a Deposit, and Clients' refund account details | South Africa |
6.2 We also share information:
- with the other party to your Project, as clause 5 describes;
- with suppliers and delivery companies, on Company-managed Projects, as far as they need it to deliver materials to the site;
- with our professional advisers, such as attorneys, auditors and accountants;
- with a mediator, ombud, court or arbitrator dealing with a dispute you are part of;
- with authorities such as SARS, the police or a regulator when the law requires it;
- with a company that takes over our business, which must protect your information as this policy does.
7. Information sent outside South Africa
7.1 Some of our service providers store or process information outside South Africa (see clause 6.1). We only use providers that are bound by law or by agreement to protect personal information to a standard at least as protective as POPIA, and sending it to them is necessary for us to provide the App to you.
8. How we protect it
8.1 We protect personal information with reasonable technical and organisational measures. These include:
- encrypted connections;
- passwords stored in a form that cannot be reversed;
- encryption of all bank details we hold: Contractors' payout accounts, suppliers' accounts and Clients' refund accounts;
- two-factor sign-in, available to users and required for staff;
- uploaded files that can only be opened through short-lived links by people allowed to see them;
- access limited to staff who need it;
- a log of staff actions.
8.2 If we believe your personal information has been accessed or acquired by someone without authority, we will tell you and the Information Regulator as soon as reasonably possible, as POPIA requires.
8.3 Keep your password and devices secure. Tell us straight away at support@eazyconstruct.com if you think someone has used your account.
9. How long we keep it
| Information | How long we keep it |
|---|---|
| Project records: Signed Quotes, agreements, Change Orders, photos, payments, notices, documents, disputes | 5 years after the Project ends, or longer if the law requires it |
| Legal acceptance records | 5 years after your account is closed |
| Payment, refund and payout records | 5 years after the transaction, as tax law requires |
| Your account and profile | Until you close your account. We then remove or anonymise your profile, and keep only what this table says we must |
| Contractor bank details | Until the account is closed and every payout or amount owed is settled |
| Client refund bank details | Until the refund is paid |
| Messages | 5 years after the last message in the conversation, because messages can be evidence in a dispute |
| Login history and session records | 12 months |
| Support emails from people without an account | 3 years |
| Invitations that are not accepted | 12 months |
| Unfinished sign-ups | 30 days |
| Push tokens | Until you log out, or until the service tells us the token no longer works |
10. Your rights
10.1 Under POPIA, you may:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct information that is wrong, incomplete or out of date;
- ask us to delete information we no longer have a lawful reason to keep;
- object to our processing of your information on reasonable grounds, and to direct marketing at any time;
- withdraw any consent you gave us;
- complain to the Information Regulator.
10.2 You can update most of your information yourself in the App, and close your account under Settings. For anything else, email support@eazyconstruct.com. We may ask you to confirm your identity first. We will respond within a reasonable time, and within any period the law sets. Requests for records are handled under the Promotion of Access to Information Act, 2000, which may allow a prescribed fee.
10.3 We may be unable to delete information that we must keep by law, that forms part of another user's Project record, or that we need for a dispute or legal claim. If so, we will tell you why.
10.4 If you are unhappy with how we handle your information, please contact us first. You may also complain to the Information Regulator (South Africa) through its website, https://inforegulator.org.za.
11. Cookies and similar technologies
11.1 The App does not use advertising or analytics tracking. It stores a login token on your device to keep you signed in. Our website does not use advertising or analytics cookies.
12. Changes to this policy
12.1 We may update this policy. We will tell you about a material change in the App and by email before it takes effect, with a short summary of what changed. The App shows the version in force and its effective date under Settings, then Legal.
